How do I apply Permissions/Restrictions?

By default, no restrictions are applied, and access is “Open to all users.” However, additional restrictions can be added if desired.

Restrictions can be applied at both the Parts level and to individual Workbooks. To apply restrictions, navigate to the Permissions section and add the desired groups to limit access. When restrictions are applied at the Parts level, they automatically cascade to all child items underneath.

Make a Workbook Visible to Everyone

A part or workbook is open to all users only when no groups are assigned at either the Part level or the Workbook level.

  1. Open the Workbook > Permissions tab and remove all assigned groups.
  2. Open the Part > Permissions tab and remove all assigned groups.
  3. Click Save on each page.
  4. Check the Permissions tab. It now shows Access is open to all users.

Note: If groups remain at the Part level, the workbook stays restricted to those groups even when no groups are assigned to the workbook.

Note: To give someone access to a restricted part or workbook, add them to one of its assigned groups.

Permissions for Imported Data

  • Rows you import into a worksheet follow the Part and Workbook permissions above. You don't need any extra setting.
  • In the Reusable Library, imported rows are tagged automatically with the tags that are active when you import, so switch on the right tags first. You can also tag rows afterwards with Apply Tags in Bulk.
  • To limit who can use specific Reusable Library records, assign groups in the record's Groups column. Users who aren't in those groups can't see the records. Administrators can always see them.
